VarcoMac, LLC has an immediate need for a Service Coordinator. This position is responsible for assisting the Service Department with the overall planning & scheduling, resource allocation and project accounting. This position will be 100% on-site.

Essential Duties and Responsibilities:

  • Provide administrative and clerical support to critical power, generator and service division.

  • Assist with all stages of maintenance contracts support team on projects or tasks as needed.

  • Develop strong relationships with customers.

  • Support and work closely with Service Technicians to process tickets, invoices, scheduling, and other coordination activities.

  • Assist service team with proposal preparation, entry of customer and work order information into software. Request certificates of insurance.

  • Answer service phone calls as needed.

  • Compile required documents for work orders and maintenance projects, scheduling utility outages, permitting and inspections, and generate project crew materials for critical power projects. Maintain completed report files.

  • Monitor and update department schedule for completed and upcoming projects, track future service intervals.Participation in relevant project meetings.

  • Assist in gathering the best pricing and on-time delivery of materials and services from vendors and subcontractors.

  • Request purchase orders for materials. Contact suppliers to schedule or expedite deliveries and mitigate potential problems.

  • Assist with submitting completed projects for invoicing.

  • Assist in collections of overdue accounts.

  • Other tasks as assigned and/or developed.

Qualifications:

  • Five years’ experience working in service management, coordination and dispatch.

  • 10+ Experience working in the construction industry preferred.

  • Strong knowledge of Microsoft Office, (Outlook, Word and Excel.)

  • Excellent verbal and written communication skills required.

Able to combine the predictability of standard operating procedures with the flexibility of continuous process improvement.

Attention to detail, able to segregate beliefs and assumptions from facts. Demonstrate strong judgment to turn information into insights, practical solutions and decision-ready recommendations.

  • AGILE: Hands-on with ability to shift back and forth from self-reliance and personal accountability to cross-group collaboration while making others successful along the way. Capable of operating in a multi-site and matrixed environment. Adaptable and willing to adjust style to audience, learn and grow with the company.
